Saturday morning in a two-bedroom rental in Bushwick: the cleaner is stripping beds before nine, the host is texting a fresh door code to a guest landing at LaGuardia by early afternoon, and last week’s code needs to disappear before anyone realizes it still works. A keypad deadbolt on a short-term rental does not live the life it was built for in a showroom. It is not one family typing the same four digits for a decade. It is a rotating cast of guests, cleaners, and co-hosts running that keypad harder in a single busy summer than most home locks see in five years.

What turnover actually does to a lock

A homeowner’s deadbolt gets a new code rarely — when they move in, maybe once more if a spare goes missing. A busy short-term rental gets a new code every few days, sometimes daily once turnover season is in full swing. Multiply that across a full year of bookings and a single lock can be reprogrammed hundreds of times before most residential locks are reprogrammed twice.

The digits that get worn

Look closely at a keypad that has run a busy rental for a season and you will usually see it: a handful of buttons duller than the rest, worn thin exactly where a code sits. That is not a manufacturing defect, it is arithmetic. When a host reuses the same base code, or scheduling software always seeds codes from a similar pattern, a few digits take a disproportionate share of every guest’s fingers, week after week. It is one more argument for actually varying the pattern between guests rather than just swapping which four numbers are active, and for choosing a keypad with a matte, evenly textured face instead of glossy buttons that show wear the fastest.

A battery that never gets a slow season

Every code change, every remote check from a host who is nowhere near the building, every auto-lock cycle after a guest who forgot to shut the door properly — all of it draws on the same four batteries a homeowner’s lock might barely touch in a week. I have pulled dead batteries out of rental keypads on turnover day more times than I can count, always at an inconvenient moment: a cleaner locked out with a car full of linens, or a guest standing on the stoop with luggage and a check-in time that already passed. What actually matters on a rental door

Once you accept that a rental lock lives a harder life than a family one, the hardware decisions get simpler. A handful of things matter far more than the brand printed on the faceplate.

Per-guest, time-boxed codes

A permanent, hand-me-down code is the single most common mistake I see on a host’s door. A code should belong to one reservation and nothing past it — active from check-in, dead the moment checkout passes. Most consumer keypad deadbolts, paired with the scheduling software hosts already use for bookings, can handle this without anyone remembering to delete a thing by hand. If a code still works for a guest two stays later, that is not convenience. It is a door with an expiration date nobody bothered to set.

Auto-lock is not optional

Guests do not relock doors on their way out. They are hauling suitcases, coordinating with friends downstairs, thinking about everything except the deadbolt behind them. An auto-lock function that re-throws the bolt on a short delay after the door closes takes that entirely off the guest’s list of responsibilities. On a rental, I treat auto-lock as closer to mandatory than a nice-to-have feature.

A physical key override, always

Batteries die, codes get mistyped, networks drop — and when that happens to a paying guest instead of you, it turns into a service call at the worst possible time, not a minor annoyance. Every keypad deadbolt I install on a rental keeps a standard mechanical cylinder underneath the electronics, and the matching key lives in a lockbox or with a local co-host, never inside the apartment where it helps nobody. It is the same override logic behind any residential locksmith visit: never let the backup depend on the primary working.

Bolt strength is not a marketing word

Guest turnover puts all the attention on the keypad and none on the bolt behind it, which is backwards. The bolt is what resists a kick or a pry, and it is rated, not marketed — ANSI/BHMA grades run from Grade 1 down to Grade 3, and the difference between them is measurable, not a sales pitch. It deserves the bolt grade you would want on your own front door, not the flimsiest keypad bundled into a listing deal.

Wi-Fi lock or offline keypad: for a rental, simple often wins

Hosts tend to assume the app-connected lock is automatically the smarter choice, and sometimes it is: remote access genuinely helps when a guest is stuck outside and you are nowhere near the building. But every Wi-Fi lock adds failure points that a simple offline keypad does not carry — a router the cleaner unplugs to vacuum behind it, a hub that drops off when the building’s internet has a bad stretch, an app account that has to be handed off cleanly every time a co-host relationship changes. An offline keypad deadbolt, whether it is a Schlage, a Yale, or a simpler battery-only model, runs entirely on its own code logic with no dependency on anyone’s router or login. That tends to make it the more reliable day-to-day tool, for the exact reason hosts assume it should not be: it has less to break. Not every NYC door takes the lock you want

This is the part hosts researching hardware online rarely plan for. Plenty of keypad deadbolts sold as simple retrofits are built for a standard residential bore in a wood or lightweight metal door — which describes a fair number of brownstone and rowhouse doors in the city and very few doors in a prewar multifamily building. Steel doors, mortise locksets, and fire-rated entries common in larger apartment buildings across Manhattan, Brooklyn, and Queens often cannot take a bolt-on retrofit at all without real prep work, and forcing one on anyway is how a keypad ends up misaligned, straining its own motor, and back on my schedule within a season. When the door itself needs work rather than just the lock, that stops being a lock swap and turns into a door installation conversation. Better to have that conversation before a guest is standing outside a keypad that was never going to fit that door in the first place.

Codes for cleaners and co-hosts, not keys

A cleaning crew turning a unit around in a couple of hours and a co-host covering check-ins on your day off both need reliable access. Neither needs a key. A code can be scheduled, revoked, and reissued without anyone driving over to collect a physical copy that may or may not still exist. A key handed to a cleaning service months ago is a key you can no longer account for. A code that expired last month is nobody’s problem. If your current lock cannot make that distinction — one shared code for every cleaner, indefinitely, because setting up separate ones is a hassle — that is a hardware limitation worth fixing before it turns into a bigger one.

None of this calls for exotic hardware or a full smart-home buildout. It calls for a keypad deadbolt built for the number of hands that will actually touch it, mounted on a door that can actually support it, with a battery habit nobody has to remember on their own. Turnover is hard enough on a calendar already. It should not be hard on the lock too.
